MoeMark is a trading name of MOEBEER LTD, a company registered in England and Wales (company number 16975557), registered office 52 Watling Lane, Wallingford, Oxfordshire, OX10 7JQ, United Kingdom. For everything on this page, MOEBEER LTD is the data controller. If you want to ask about any of it, email hello@moemark.co.uk.
This policy says what personal information we collect when you use moemark.co.uk, why we collect it, who else touches it, and what rights you have over it. We have tried to write it the way we would explain it across the counter.
What we collect, and why
Your account. Sign-in on this store is handled entirely by Shopify: you enter your email address and Shopify sends you a six-digit code. There is no password — we never set one, see one, or store one. Your customer record (name, email, order history, and any tags we apply, such as trade approval) lives in our Shopify admin. We use it to run your account and your orders. Lawful basis: performing our contract with you.
Orders and payment. When you buy something, Shopify's checkout collects your name, delivery and billing addresses, contact details, and payment details. Payment is processed by Shopify's payment providers — your card number never reaches us. We see the order, the addresses, and confirmation that payment happened. Lawful basis: performing our contract with you, and our legal duty to keep proper business records.
Quote requests. When you ask us to price a job — from the quote page or the one-click button in the basket — the request reaches us as an email containing your company name, your name, email address, phone number if you gave one, your notes, and the contents of your basket. We use it to price and answer your request. Lawful basis: taking steps at your request before entering a contract.
Trade account applications. When you apply for trade pricing we receive your company's name and trading address, its legal structure and registration number where it has one, your name, email address, phone number if you gave one, the website address you point us at, and what you tell us about your business and expected order sizes. We use these to decide whether to approve the account, which includes looking at the public website you gave us. Lawful basis: taking steps at your request before entering a contract, and our legitimate interest in checking who we extend trade terms to.
Artwork and logos. Files you upload on a product page are stored as files hosted by Shopify, and they travel with your basket and your order so we can decorate your garments with them. Be aware: an uploaded file gets a web address that is not listed anywhere but is not private — anyone who has the exact link can open it. Do not upload artwork containing information you need kept confidential. We use your artwork only to produce your order and to make reordering easy. Lawful basis: performing our contract with you.
Emails you send us. If you email hello@moemark.co.uk, we keep the correspondence for as long as it stays relevant to your orders or enquiry. Lawful basis: our legitimate interest in answering you and keeping track of what was agreed.
Businesses we get in touch with. We sometimes write to businesses we think could use what we make. We find them ourselves, from public sources: the business’s own website, public maps and directories, and Companies House. We keep only what we need to write to them and follow up: the business name and address, the contact details it publishes (usually a general address such as info@), the name of an owner or manager where the business publishes it, and notes on what we suggested and what was said. We email limited companies and other corporate bodies only, and every email says who we are and how to tell us to stop. If you’d rather not hear from us, reply or email hello@moemark.co.uk and we’ll stop straight away. Lawful basis: our legitimate interest in telling businesses about what we make.
The occasional email. If you sign up in the footer, we will email you when something worth knowing lands — never more than monthly, as promised there. Every marketing email tells you how to unsubscribe, and we act on it straight away. Lawful basis: your consent, which you can withdraw at any time.
Browsing data. Shopify sets cookies that make the store work — the basket, sign-in, and the checkout — and collects standard technical information (IP address, browser, pages viewed) that we see only as aggregate analytics. See Cookies below. Lawful basis: the essential cookies are needed to provide the store you're using; the aggregate analytics rest on our legitimate interest in understanding how the store is used.
You never have to give us any of this information — but without the details an order, a quote, or a trade application actually needs (a delivery address, say, or the website we vet an application against), we can't provide the thing you're asking for.
Who else touches your data
We don't sell or rent personal information to anyone. It is shared only with the services that make the store run:
- Shopify hosts the store, the checkout, customer accounts, and uploaded files, processing data on our behalf. You can read more at Shopify's consumer privacy policy.
- Payment providers engaged through Shopify's checkout process your payment. We never hold card details.
- Google Workspace runs our email. Quote requests, trade applications, and anything you send to hello@moemark.co.uk sits in our Google-hosted inbox.
- PenCarrie, our garment supplier, receives your delivery name and address when an order is sent to you directly from their warehouse rather than from our workshop.
- Customthings powers the product customiser on personalised products. The design you build in it — text, choices, any images — goes to Customthings to generate the production files we make your item from.
- Review services — Judge.me today, Trustpilot to follow — receive your name, email address, and what you ordered, so they can invite you to review it after you've bought. A review you post is public, under the name you give it.
- Telegram carries short notes to our own phones, such as a draft email to a business waiting for our approval.
- Delivery carriers receive your name, address, and contact details so they can deliver your parcel.
Some of these providers process data outside the UK. Where they do, we make sure a recognised safeguard is in place — the UK's adequacy regulations for the destination country, or the UK's international data transfer agreement or addendum.
We may also disclose information where the law requires it — for example to HMRC, or in response to a valid legal demand.
How long we keep it
- Orders, invoices, and quotes that became orders: six years from the end of the relevant financial year, because tax law requires it.
- Quotes that didn't become orders: ordinary correspondence — kept while they stay relevant, then deleted.
- Your account: for as long as the account exists. Ask us to close it and we will, keeping only what the law makes us keep.
- Trade applications we decline: kept only while they stay relevant, then deleted.
- Artwork: kept so reorders are easy. Ask us to delete a file and we will remove it from our files, though copies may persist in completed order records we are required to keep.
- Marketing list: until you unsubscribe.
- Businesses we have contacted: up to two years from our last contact, then deleted. If you ask us to stop, we keep only the business name and email address on a do-not-contact list, so we don’t write again.
Your rights
Under UK data protection law you can ask us: what we hold about you (access); to correct it (rectification); to delete it (erasure); to limit what we do with it (restriction); to object to processing based on our legitimate interests; and to hand your data over in a portable form. Where we rely on your consent, you can withdraw it at any time. None of these rights is absolute — sometimes the law requires us to keep something — but we will always tell you what we've done and why.

If you think we've handled your data badly, we'd like the chance to put it right first — but you also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Cookies
The store uses cookies set by Shopify. Essential ones keep your basket, your sign-in, and the checkout working — the store cannot function without them, and they're set without asking. Analytics cookies, which show us in aggregate how the store is used, are set only where you've agreed through the cookie banner, and you can change your mind there at any time. You can also clear or block cookies in your browser, though blocking the essential ones will stop the basket and checkout from working.
Children
This store sells to adults and to businesses. It is not aimed at children, and we do not knowingly collect children's personal information. If you believe a child has given us theirs, email us and we will delete it.
Changes to this policy
If how we handle personal information changes, this page changes with it, and the date at the top moves. If a change really matters — a new third party, a new use — we'll flag it to account holders rather than just quietly editing this page.
